Job Application Letter Template and Tips for Writing It

Are you ready to apply for a job? Not sure what to write in your cover letter? It can be much easier to start writing your letter using a template instead of starting from scratch.

The template will show you all the information you need to include and will provide the proper format for your job application letter. You can add your personal information and customize the letter before applying for the job.

You should keep in mind that the job posting may mention the information required as part of the application process. If so, make sure to follow the employer’s guidelines on what to send or upload when applying.

What to Include in a Job Application Letter

The following job application letter template outlines the information you should include in the letter you send with your resume when applying for a job. Use this template as a guide to create customized letters to send to employers along with your resume.

Contact Information

The first part of your letter should include information on how the employer can contact you. If you have the employer’s contact information, include it. Otherwise, just provide your information.

Your Personal Information

First Name Last Name

Street Address

City, State, Zip Code

Phone Number

Email Address

Date

Employer’s Contact Information

Name

Title

Company

Address

City, State, Zip Code

Salutation

Here you find information about the appropriate salutation in a job application letter. Here is the most common salutation:

Dear Mr./Mrs. Last Name or Dear Hiring Manager:

Content of the Job Application Letter

Your job application letter will inform the employer about the position you are applying for, why the employer should choose you for an interview, and how you will follow up afterward.

The First Paragraph:

The first paragraph of your job application letter should include information about why you are writing. Mention the job you are applying for and where you found the position. If you have a contact at the company, mention the name of the person you were connected with here.

The Middle Paragraphs:

The next paragraph of your job application letter should describe what you have to offer the company: Make strong connections between your abilities and the requirements listed in the job posting. Specifically mention how your skills and experiences match the job. Expand on the information in your resume, and do not just repeat it. Try to support every statement you make with evidence. Use several short paragraphs or bullet points instead of one large block of text, which can be difficult to read and absorb quickly.

The Final Paragraph:

Close your job application letter by thanking the employer for considering your application for the job. Include information on how you will follow up. Indicate that you will do so and specify when (one week is a customary time). You may want to shorten the time between sending your resume and following up if you uploaded or emailed it.

Closure

Sincerely,

Your Signature (if sending a printed letter)

How to Send a Job Application Letter via Email

If you are sending a job application letter via email, instead of sending a printed copy, you’ll need to make some slight adjustments to the format above. First, make sure to include a subject line for the email that is direct and informative.

Typically, the subject includes your name and the job title you are applying for. For example:

Subject: Sherry Chau – Marketing Assistant Position

Skip including personal information (address, contact information), the date, and the employer’s contact information. Start your email with the greeting. The body of the email – why you are writing, what you have to offer the company, and how you will follow up – is exactly the same as what’s in the format above.

At the end of the message, include a closing of your personal touch, then write your full name on the next line. You can also include your email signature with your contact information and a link to your LinkedIn or Twitter account. Here is information on how to set up your email signature.
